AI workflow automation for operations and finance teams

We automate the document-heavy, repetitive work between your systems with AI, and keep a person in charge of every decision that carries risk.

What is AI workflow automation?

AI workflow automation is a fixed sequence of steps where a language model handles the parts that need reading or writing, such as extracting fields from an invoice or drafting a reply, and ordinary code handles the rest. Unlike an AI agent, the steps don’t change from case to case, which makes it cheaper, faster and easier to audit.

Workflows we automate

Invoice and receipt processing

Extract line items, match to purchase orders and flag anything that doesn’t add up.

Email and request triage

Read incoming requests, categorise them, pull the right records and draft the first reply.

Reconciliation

Match records between your ERP, bank feeds and spreadsheets, and explain each mismatch.

Contract and document intake

Pull key terms, dates and obligations into your system, with the source clause linked.

Recurring reports

Gather numbers from several systems and write the weekly summary your team edits instead of writes.

Data clean-up and enrichment

Standardise messy records, fill missing fields and de-duplicate, with every change logged.

How an automated workflow runs

Every workflow we build follows the same five steps. The approval step is the one most automation projects skip, and the reason most of them get switched off.

  1. Trigger

A file lands, an email arrives or a schedule fires.

  2. AI step

A model reads, extracts or drafts, with a structured output.

  3. Check

Code validates the output against rules and source data.

  4. Approve

Anything over your threshold goes to a person, with context.

  5. Update

Approved results are written back to your systems and logged.

Included in every build

  • Evaluation setReal examples from your data that every change is tested against before release.
  • Approval screenA simple queue where your team approves, edits or rejects AI output.
  • Logs and cost trackingEvery run, input, output and model cost recorded and searchable.
  • FallbacksIf a model is down or unsure, the item goes to a person, never to the void.
  • Runbook and handoverWritten for the engineer who maintains it after us.

AI workflow automation FAQ

Which processes are worth automating with AI first?

Ones that are frequent, follow the same steps each time and involve reading or writing text. A good first candidate takes someone 5+ hours a week and has a clear right answer you can check.

Is AI workflow automation the same as RPA?

No. RPA clicks through screens and breaks when they change. AI workflows work through APIs and data, and use a model only for the steps that need language understanding.

What happens when the AI gets something wrong?

The check step catches most errors against rules and source data. The rest are caught at approval. Every correction is added to the evaluation set so the same mistake is tested for in future.

Is our data used to train AI models?

No. We use model providers and settings that do not train on your data, and we can run on models hosted in your own cloud when required.

How much does an AI workflow cost to run?

Model costs for most workflows are a small fraction of the time saved. We estimate per-run cost during discovery and track it live after launch.

Which workflow would you hand off first?

Tell us what it is. Within 2 business days we'll reply with whether it needs custom software, an AI workflow or an agent, and roughly what it would take.
